Shipping Administrative Assistant

Typical Duties:

  • Prepare commercial documents for shipments to internationalcustomers.

  • Work with Shipping Department and other departments toensure that commercial documents accurately reflect the physical shipment withregard to country or origin, NAFTA (or other Free Trade agreement) status, andHTS classification.

  • Process incoming freight/custom invoices.

  • Process incoming wafer shipments both internal and affiliatesourced, then prepare shipping packets for outgoing.

  • Work with Production, Order Management, IS, QA, andAccounting to process reworks, returns, and to manage finished goods inventory.

  • Resolve discrepancies and where possible, determine andimplement process to prevent recurrence.

  • Perform Administrative tasks: copying, filing, faxing,scanning as needed.

Minimum Requirements

  • Experience in export traffic coordination. Previous experienceworking with Customs brokers, forwarders, and international partners.

  • Familiarity with international documentation, HTSUS, andSchedule B helpful.

  • Proficient with Microsoft Office (primarily Excel and Word).Minimum of three years of experience utilizing MS Office for datatracking, reporting, and correspondence.

  • Excellent oral and written communication skills.

  • Ability to quickly learn new computer software andsystems. Word processing keyboard speed of 55 WPM minimum.

  • Demonstrated grammar, proofreading, and writing skills inEnglish language. Familiarity with standard formatting of businesscorrespondence and reports. General math skills.

  • Resourceful and able to work independently.

  • Detail-oriented, organized, and able to prioritize tasks.

  • Strong telephone and interpersonal communication skills.Ability to communicate information clearly and accurately to internalstaff and external contacts.

  • Minimum of two years of experience performing administrativejob duties including, data entry, correspondence, and report generation.

Preferred Knowledge, Skills, Experience

  • Formal export compliance training a plus.

  • Experience in a process manufacturing environment a plus.
