Summary of Duties
The Office of Student Services in the College of Pharmacy and Pharmaceutical Sciences (COPPS) is an energetic and highly fast-paced environment where we rely heavily on current technologies to meet the demands of the Doctor of Pharmacy students and our stakeholders.
The Academic and Student Success Advisor provides quality advising to professional students from the College of Pharmacy and Pharmaceutical Sciences. The advisor will provide advising and support to help students navigate the higher education environment, set academic goals, plan for co-curricular experiences that support career goals, and develop academic success strategies. Duties include but are not limited to: advising students year round, motivating students to set and achieve educational and career goals, conducting workshops and presentations, which includes coordination of Career Fair, promoting academic success skill development, monitoring and tracking students’ academic progress and coordinating and developing student success programs.
This position may require occasional travel to local, regional, and national locations for student services training and support.

The Position Duties
55% Advising, Student Support and Career Development Lead the Doctor of Pharmacy student success initiatives which includes, developing an early alert system, updating and maintaining a student success communication plan, building relationships with and connecting students to campus and community resources.
Develop a holistic student success approach that is tailored to individual student needs, by providing proactive, targeted support for students who have been identified as at risk. Monitor academic progress of enrolled students, develop intervention strategies to assist students in their academic development and make appropriate recommendations/referrals to academic assistance programs as needed.
Manage outreach to students who are not making satisfactory progress and provide resources for academic, personal health/well-being support.
Provide timely and accurate information and interpret academic requirements as well as University policies and procedures to current students and the COPPS community.
Provide advising and support to enrolled Doctor of Pharmacy students regarding college and university degree requirements, career exploration and other professional development related matters.
Prepare reports based on individual student progress toward academic goals. Utilize these reports during individual advising sessions to assess student progress and programmatic success.
Develop rapport and productive relationships with students by creating engaging educational materials and welcoming environments for students to grow professionally and gain new skills.
Advise incoming students during New Student Orientation as needed; Assist students in transitioning to the academic environment and advocate for their success.
Develop new workshop/outreach content and materials; present academic success and career workshops to students, classes, and student groups as requested.
Ensure compliance with COPPS and University policies and standards in relation to grades, graduation and degree requirements and associated issues.
Monitor and manage student progress in relation to program requirements, and corresponds with faculty regarding students’ programmatic problems and deficiencies.
Coordinate the analysis, design, development, and implementation of records systems and applications, as required to meet the evolving needs of the program.
Respond in a timely manner to all current student and faculty inquiries. Research and resolve problems related to current student needs; serve as liaison with other constituencies in the resolution of day-to-day administrative and operational issues.
Monitor and manage the resolution of complex problems, which often requires analysis of unique issues and/or adapting nontraditional approaches.
Support programming with industry professionals for students throughout the year, Increase focused and specialized career programming for specific campus groups.
Support current students both in one-on-one advising and in career-related workshops to encourage professional development (Resume/cover letter writing, Interviewing, Networking).
Use independent judgement to monitor students’ academic success through ongoing outreach, advising meetings, and data analysis. Assist students with registration, study plans, degree audits, transfer evaluation, advancement to candidacy, etc. Review academic progress of assigned students and develop individualized success plans.
Assist students with tuition related questions, financial aid resources, etc. Support includes pro-active outreach and communication with students.
Partner with campus departments, including Admissions, Disability Services, Military/Veterans, Career Services, International Students, etc. to ensure seamless student support. Collaborates with campus constituents to develop and lead student outreach workshops. **____________
25% Programmatic and administrative responsibilities Utilize and update Radius (CRM) software for messaging related to current student needs, including developing a comprehensive communication plan that spans the student lifecycle.
Query, analyze and interpret data from university student data warehouse (OBIEE).
Monitor and manage accurate department records including but not limited to; attrition, student progress, rankings and course averages, class lists, and student exceptions.
In collaboration with the Director of Student Services prepare statistical reports including but not limited to: enrollment and retention.
Analyze student success business process and procedures, making quality improvements and adjustments as needed.
Record data on student interactions using appropriate technology, including maintain and document all contact with students resulting from standing appointments, phone, walk-ins, and email.
In collaboration with the Director of Student Services, evaluate effectiveness of students’ academic support programs, devise evaluation methodology, compile data and report on results. Support faculty curriculum committee to review, evaluate and assure the program curriculum and the prerequisites continue to meet the learning outcomes in compliance with accreditation standards. Provide administrative advisement on academic program compliance and related issues including degree completion requirements, scheduling and policies to students, faculty, and/or departmental staff; serve as liaison between students, faculty and administration, as necessary.
Review content on the COPPS website regularly and coordinate with the communications team to update.
Participate in research goals of department through program development, implementation, evaluation, and modification. Work closely to ensure educational services are delivered in an efficient, effective manner and streamlined for students.
Make recommendations concerning improvement of programs and services.
Support department through participation in a variety of department activities and committee work.
Continuously research and implement the best practices in career services and student development.
Maintains comprehensive business processes, policy and procedure manuals. **____________
15% Student Events Lead the planning and coordination of the Doctor of Pharmacy career fair series in Spokane and Yakima, WA.
Manage communications with students, employers, and faculty regarding Career Services events and updates.
Support on-campus career-related events (Guest Lectures, Career Fair, Internship Fair).
Assist in event data collection efforts, such as attendance records, program assessment, budgets, checklists and timelines.
Develop and present workshops targeted at supporting student career/professional development and student academic success.
Work collaboratively with the college commencement committee and serve as the main point of contact with graduating Doctor of Pharmacy students. **____________
5% Miscellaneous Other appropriate duties as assigned.
Positions require a Bachelor’s degree and two (2) years of professional work experience in student services or related education/experience. A Master’s degree in a related field may substitute for one (1) year of professional work experience. Any combination of relevant education and professional experience may be substituted for the educational requirement on a year‐for‐year basis.
Experience with academic/career advising, and experience applying academic rules and regulations.
Demonstrated computer software skills, including the ability to use office software, such as databases, spreadsheets, word processing, and Outlook.
Advanced skills in the use of Word, Excel, Adobe Acrobat Pro, and Outlook.
Demonstrated ability to communicate effectively both orally and in writing.
Demonstrated ability to remain professional, courteous, and interact effectively with people in a positive manner that engenders confidence and trust.
Strong interpersonal skills and the ability work collaborative in a team environment.
Ability and willingness to occasionally travel, work weekends, and work after regular business hours.
Experience in program development.
Demonstrated ability to prioritize job tasks effectively and multi-task to meet deadlines.
WSU ACADA Level 1 certification within six (6) months of hire.
Position requires a valid unrestricted driver’s license.
Master’s degree in related field.
Working knowledge of learning styles, retention strategies, and academic success strategies.
Understanding and belief in developmental academic advising.
Strong public speaking skills and the ability to develop and deliver engaging and informative presentations to students and parents.
Experience advising, counseling, teaching at the post-secondary level.
Experience using student records databases/programs for higher education institutions.
Previous work experience at an institution of higher education.
Experience implementing student related policies and procedures.
Education in and/or experience with assessment and outcomes management.
Previous work experience with a College/School of Pharmacy or other educational program.
Experience in higher education, recruitment, and program development and evaluation.
Experience working with diverse faculty, students and staff.
Familiarity with Washington State University academic rules and regulations.
