The Clinic Manager, under minimal direction of the Director, is responsible for managing all functions of the assigned clinic(s), including organization and planning of the services provided by the clinic. The Manager coordinates the smooth operation of the day-to-day activities, provides leadership, makes decisions, sets goals, and assures that quality, performance and production standards are maintained.

Note: At the discretion of the Director, the Clinic Manager-II is usually responsible for the management of a single clinic or multiple clinics with (combined) more than 6 physicians.

Specifically in this position you will:

  • Coordinate day-to-day activities, provide leadership, set goals and assure that quality, performance and production standards are maintained.

  • Demonstrate service excellence and positive interpersonal relationships ensuring clinic operations and productivity is maximized.

  • Recommend and implement approved process improvement initiatives to address areas of deficiency.

  • Responsible for recruitment, retention, training and performance management of clinic support staff.

  • Create a practice of teamwork and implement change that will improve and sustain clinical, operational and financial performance.

  • Understand Washington state regulations, licensure, and certification laws for clinical support positions, which include MA, RN, LPN, X-ray technician, etc.

  • Analyze monthly statistical reports on clinic production, expenses and revenue.

  • Develop operating and capital budgets to achieve annual financial and productivity standards outlined by the organization.

  • In partnership with the Clinic Chief Physician- oversee and manage quality and medical management programs.

  • Monitors and tracks production trends and collaborates with providers and staff to plan and implement process improvement initiatives.

  • Effectively communicate organization strategies and initiatives.

  • Optimize services to achieve the highest levels of patient satisfaction.

  • Address patient concerns and complaints in an appropriate and timely manner.

  • Analyze monthly/quarterly data related to patient satisfaction (CG-CHAPS).

  • Support Ambulatory Network by participating in organizational committees and projects.

  • Maintains clinic, equipment, and materials in a condition to promote efficiency, health, comfort, and safety in compliance with OSHA and CLIA regulations.

Required:

  • Bachelor degree in Business or Healthcare (BA/BS) related field or the equivalent combination of college courses plus extensive relevant experience which, in the Director’s opinion, is the equivalent of a bachelor’s degree.

  • Minimum of 3 years of experience in a physician practice, in a management or supervisory capacity.

  • Demonstrated ability to develop, support and implement new services and programs.

  • Excellent interpersonal communication and supervisory skills with a demonstrated ability in performance management, coaching and staff development/mentoring.

  • A valid Washington Driver’s License and clean driving record.

Preferred:

  • Master’s degree in Business or Healthcare Administration (MBA/MHA).

  • Multi-Specialty clinic management experience.

  • 5 years of experience in a physician practice management.

  • Lean/Six Sigma.

  • Certified Medical Practice Executive (CMPE) Certification.

  • Physician Practice business development experience.

Special Training/Skills

  • Must have working knowledge of Microsoft Word & Excel.

  • Fiscal Management.

  • Experience with Electronic Health Records e.g. Epic (Prelude, Cadence, EpicCare, Resolute).

  • Working knowledge of third party reimbursement systems.

Physical Abilities

  • Requires significant computer usage --must be able to sit for extended periods of time, use keyboard and monitor.
